Privacy notice

How we collect, use and protect your personal information — including the sensitive answers in our grant checker — and your rights.

1. Who we are

LINX Glass & Energy (“LINX”, “we”) is the controller of the personal information described in this notice. [Registered company name, number, address and ICO registration number to be added.]

Contact us about privacy at hello@linxrenewables.co.uk or on 020 8914 7824.

2. What we collect

  • Contact details — your name, phone number, email address and postcode or address, from our forms, the quote builder, phone calls, WhatsApp and emails.
  • Property details — property type, age, wall type, tenure, EPC rating and conservation-area status, which you give us or which we look up from public records such as the EPC register.
  • Quote and project information — the products, sizes, options and price ranges you choose, photos you upload, survey measurements and notes, proposals, orders and installation records.
  • Grant checker answers — see section 4.
  • Website usage — which steps of our forms you complete and which pages you came from (see our cookie policy).
  • Communications — records of calls, texts, emails and messages with you.

3. How we use it, and our lawful basis

  • To respond to your enquiry and give you a quote — taking steps at your request before entering a contract.
  • To carry out and guarantee your installation — performing our contract with you, and our legal obligations (for example Building Regulations certification and scheme lodgements).
  • To keep one record per property in our customer system — so you're not asked the same question twice, and so we can follow up, book surveys and manage your project. Our legitimate interest in running the business efficiently.
  • To follow up on quotes and send reminders about your enquiry — our legitimate interest, with an easy way to stop at any time.
  • To ask for a review after your job — our legitimate interest. We ask every customer, not just some.
  • Marketing about other products and offers — only with your consent, which you can withdraw at any time.
  • Analytics — Google Analytics runs only if you accept analytics cookies.

We don't sell your information, and we never make decisions with legal or similarly significant effects about you by automated means alone.

4. Grant checker: special-category and sensitive answers

To check eligibility for schemes such as ECO4 and the Warm Homes: Local Grant, the grant checker asks whether anyone in your home receives certain benefits, your household income band, and whether anyone has a health condition made worse by the cold (yes or no only — we don't ask for details).

  • We ask for your explicit consent before collecting these answers, and explain why each one is needed.
  • The answers are encrypted when stored (AES-256) and only staff working on funded schemes can access them.
  • They are deleted automatically 90 days after your check, unless you go ahead with a funded scheme, in which case the funder's evidence rules apply.
  • If you upload a benefit letter or EPC as evidence, it's stored securely and shared only with the funder, council or managing agent handling your application.

5. Who we share it with

  • Funders and scheme administrators — energy suppliers, councils and managing agents for grant-funded work, with your agreement.
  • Certification and guarantee bodies — for example competent person schemes, MCS, TrustMark and guarantee providers, to register your installation and guarantees.
  • Manufacturers — to register product guarantees.
  • Delivery partners — where a named partner carries out part of your work.
  • Service providers — website hosting, database, email and SMS providers who process data on our instructions. [List of processors to be confirmed.]

Some providers may process data outside the UK. Where they do, we rely on UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.

6. How long we keep it

  • Grant checker sensitive answers: 90 days, unless a funded scheme requires longer.
  • Enquiries that don't go ahead: [period to be confirmed], then deleted or anonymised.
  • Customer and installation records: for the life of your guarantees plus [period to be confirmed], so we can honour them.
  • Financial records: as required by tax law.

7. Your rights

You can ask to access, correct or delete your information, restrict or object to how we use it, ask for a copy in a portable format, and withdraw consent at any time. Contact us using the details above; we'll respond within one month.

If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put things right first.

8. Keeping it secure

Our customer system is access-controlled by role, sensitive grant answers are encrypted, and uploaded files are stored privately — customer photos only appear on our live work feed when you've agreed to it.

9. Changes to this notice

We'll update this page if the way we use personal information changes. [Date of last review to be added at launch.]
